Policies
At the Prospect Road Community Centre (PRCC), we are committed to providing a safe, inclusive, and welcoming environment for all community members. To ensure the well-being and enjoyment of everyone who visits or participates in our programs, we have established the following policies. We ask that all visitors, participants, and staff adhere to these guidelines to help us maintain a positive and respectful community space.
1. Code of Conduct
The PRCC strives to foster an environment of respect, inclusivity, and mutual consideration. All individuals who use our facilities or participate in our programs must abide by the following Code of Conduct:
- Treat all staff, visitors, and participants with respect and kindness.
- Refrain from any disruptive, discriminatory, or inappropriate behavior.
- Respect the facilities, equipment, and resources provided by the PRCC.
- Report any safety concerns or misconduct to a staff member immediately.
Any violations of this Code of Conduct may result in suspension from PRCC programs or use of the facilities.
2. Facility Usage Policies
Our facility is open to all members of the community, with specific guidelines to ensure the safety and proper use of the space:
- Booking and Rentals: All facility rentals must be booked in advance through our booking system. Payment is required at time of rental, or on a quarterly basis for long standing rentals.
- Hours of Operation: PRCC operates during specific hours, and all visitors are expected to respect these times. Access outside of operating hours is restricted unless otherwise arranged.
- Gymnasium Use: The gym is available for recreational activities, but users must follow the posted rules regarding equipment use, attire, and behavior. Any damage caused to the gym or equipment may result in a fee to cover repairs.
3. Health and Safety Policies
The health and safety of our community are our top priority. We have implemented the following guidelines to ensure a safe environment:
- Illness and COVID-19 Safety: PRCC follows all public health guidelines related to COVID-19, including mask-wearing, social distancing, and regular sanitization. Visitors must follow any current health guidelines in place. Members who are experiencing symptoms of the flu, cold, or Covid 19 are encouraged to wear a mask, or wait until symptoms subside before returning to use of the Centre.
- Fire Safety: In case of fire or emergency, please follow the posted evacuation routes and the directions of PRCC staff. Emergency exits are clearly marked, and safety drills may be conducted.
- First Aid and Medical Emergencies: Our staff are trained in basic first aid and emergency procedures. Should a medical emergency arise, please notify a staff member immediately.
4. Child and Youth Protection Policies
The PRCC is committed to providing a safe space for children and youth. All staff working with children are required to undergo background checks and participate in child protection training. Our policies regarding children and youth include:
- Supervision: All children under the age of 12 must be supervised by an adult while on PRCC premises unless participating in a registered program.
- Pick-Up and Drop-Off: For any child attending programs, parents or guardians are required to follow the PRCC’s pick-up and drop-off procedures. Only authorized individuals may pick up a child from a program.
- Reporting Concerns: Any concerns related to the safety or well-being of a child should be reported to a PRCC staff member immediately.
5. Cancellation and Refund Policies
We understand that plans can change. PRCC has the following cancellation and refund policies:
- Program Cancellations: PRCC reserves the right to cancel programs due to low enrollment or unforeseen circumstances. In such cases, participants will be notified, and a full refund will be issued.
- Rental Cancellations: Facility rentals may be canceled with advance notice. A full refund (if deposit paid) will be provided for cancellations made at least 48 hours prior to the rental time. Cancellations made less than 48 hours in advance may be subject to a cancellation fee. No show rentals will be subjected to pay the cost of their rental.
- Refund Requests: Refunds for programs or rentals are only provided under certain circumstances. Please contact the PRCC office for details on requesting a refund.
6. Privacy Policy
The PRCC respects your privacy and is committed to protecting any personal information you provide to us. We collect personal information for the purpose of program registration, facility rentals, and communication. Your information will not be shared with third parties without your consent, except as required by law. For more information, please review our full Privacy Policy or contact our office.
7. Photo and Media Policy
To celebrate and promote our programs, PRCC may take photos or videos during events and activities. By participating in our programs, you consent to the use of your image in promotional materials. If you prefer not to be photographed, please notify a staff member.
8. Accessibility
The PRCC is committed to ensuring that our programs and facilities are accessible to all members of the community. We continuously work to accommodate individuals with disabilities. If you require any specific accommodations or have suggestions for improving accessibility, please contact us.
